Regional Youth Development Nonprofit
A regional youth development network cleaned up its member data, trained staff across more than twenty sites, and built the dashboards and processes needed to track attendance and membership accurately.
A regional youth development affiliate operates across more than twenty program sites, each using Salesforce with a club management application to handle member registrations, check-in and check-out, and family communications. Years of data entry inconsistency had created a significant duplicate records problem, dashboards were not rolling up correctly to leadership, and frontline staff lacked the training to use the system effectively.
The challenge
Duplicate member records made it impossible to report accurately on total membership, attendance, or site-specific counts. The parent portal registration process had gaps in required fields and waiver collection, and communications to families were not personalized. Executive dashboards were not trusted because the underlying data was inconsistent, and staff across sites handled records differently with no shared best practices.
The solution
SiiMPLY7 took on Salesforce system administration and conducted full discovery across the organization's use of Salesforce. The team implemented duplicate detection and mitigation rules tested through user acceptance scripts, and worked with site directors to manage the merge process. SiiMPLY7 built executive and site-level dashboards for attendance and membership reporting, configured check-in and check-out processes with membership card support, and delivered staff training as the first step toward a train-the-trainer model.
