California Boutique Hotel and Spa

A boutique hotel and spa replaced legacy parent company systems with a single Sales Cloud platform that runs group sales from lead to signed contract to room block.

The client is a California boutique hotel and spa nestled at the head of the Silverado Trail in Napa Valley's northernmost wine country town. Originally opened in 1946 as a classic roadside motor lodge, the property was reimagined by award-winning design firm AvroKO into a mid-century modern escape drawing from the town's rare geothermal hot springs. Winner of Hotel of the Year and Best Hotel Renovation & Restoration at the 2018 Sleeper AHEAD Americas Awards, a Best of Wine Tourism award recipient, and featured in the Michelin Guide, the property operates 63 guest rooms, two mineral pools, a full-service spa, and on-site dining. After separating from a major hospitality brand, the property needed to stand up its own CRM rather than continue relying on inherited legacy systems. SiiMPLY7 was engaged to implement Sales Cloud Enterprise and connect it to the property's operations stack.

The challenge

The sales team was managing leads, proposals, contracts, and room blocks across spreadsheets and disconnected legacy tools, with duplicate data entry between sales and the property management system. There was no single pipeline view, no automated contract handoff, and limited reporting on occupancy and food and beverage revenue. The property needed a centralized platform that reflected real hospitality workflows and fed booking data into operations without rekeying.

The solution

SiiMPLY7 implemented Sales Cloud Enterprise Edition configured for group sales, with custom objects for groups and group bookings, room types and blocks, event and meeting space, and proposal and contract tracking. Opportunity stages were aligned to the hospitality sales cycle, from proposal to tentative to definite to contract signed. The team integrated Salesforce to the StayNTouch property management system through Hapi Guest so that signed booking data flows into operations, added e-signature for contracts, and migrated roughly 2,000 cleaned records for immediate reporting.

Engagement summary

SiiMPLY7 delivered a configured Sales Cloud Enterprise org, a StayNTouch integration via Hapi Guest, e-signature, data migration, and reporting across a phased eight to ten week engagement. The property moved its group sales process onto a single platform with booking data flowing into operations and contracts handled through e-signature.

What's next

Likely next phases include marketing automation on top of the new CRM foundation, deeper reporting, and additional integrations as the property builds on the scalable platform that was established in this engagement.
